These Terms & Conditions (“Terms”) govern all bookings, rentals, and use of the chillfreez.com website provided by Chill Freez Transport L.L.C. (“ChillFreez,” “we,” “us,” “our”), a company licensed by the Dubai Department of Economy & Tourism under Trade License No. 1510798 for refrigerated transport and refrigerated vehicle rental, and registered with the Dubai Chamber of Commerce (Membership No. 618495). Our office is at Office A9-101, Al Khaleej Al Tijari Al Awwal, Sheikh Zayed Road, Dubai, UAE.

By booking a vehicle, using our website, or engaging our services, you (“Customer,” “Renter,” “you”) agree to be bound by these Terms. If you do not agree, please do not use our services.

1. Our Services

ChillFreez rents chiller vans, freezer vans, dual-temperature refrigerated vans, and 3-ton refrigerated/chiller/freezer trucks (Mitsubishi Canter), available:

• Self-drive or with a ChillFreez driver
• Daily or monthly rental plans
• Across Dubai, Abu Dhabi, Sharjah, Ajman, Ras Al Khaimah, Fujairah, and Umm Al Quwain
• 24/7, including same-day dispatch subject to availability

Published rates exclude VAT and fuel unless stated otherwise; final quotes depend on route, duration, and vehicle type.

2. Bookings & Confirmation

• Bookings may be made via WhatsApp (+971 52 549 5268), phone, email (info@chillfreez.com), or our website.
• A booking is confirmed only once ChillFreez issues a confirmation (message, invoice, or signed agreement) and, where applicable, a deposit or advance payment is received.
• We reserve the right to decline a booking where vehicle availability, route, or cargo type falls outside our operational capability.

3. Eligibility for Self-Drive Rentals

To rent a vehicle self-drive, the Renter must:

• Hold a valid UAE driving licence appropriate to the vehicle class.
• Be at least 21 years of age (25+ for 3-ton trucks, at our discretion).
• Provide a valid Emirates ID or passport/visa for identity verification.
• Sign the rental agreement and, where applicable, provide a security deposit.

Drivers supplied by ChillFreez are trained in cold chain handling; self-drive renters are solely responsible for safe and lawful operation of the vehicle.

4. Rental Period, Rates & Payment

• Rental rates are quoted per day or per month as shown on our services and rates page.
• A rental “day” is a 24-hour period from the agreed pickup time, unless otherwise agreed in writing.
• Payment is due as agreed at booking (advance, on delivery, or monthly invoicing for corporate accounts).
• Late returns are charged at the applicable daily rate, pro-rated per hour beyond a reasonable grace period.
• Extensions must be requested and confirmed before the original rental period ends, subject to availability.

5. Security Deposit

• A refundable security deposit may be required before dispatch, amount depending on vehicle type and rental duration.
• The deposit (or part of it) may be withheld to cover: unpaid rental fees, fuel shortfall, traffic fines incurred during the rental period, cleaning charges, or repair costs for damage beyond normal wear and tear.
• Deposits are refunded within a reasonable period after the vehicle is inspected and returned in the agreed condition, per our Refund & Cancellation Policy.

6. Customer Responsibilities

While the vehicle is in your possession (self-drive rentals), you agree to:

• Use the vehicle only for lawful purposes and within its rated payload and temperature capabilities.
• Not sub-lease, sub-hire, or allow an unauthorized driver to operate the vehicle.
• Maintain the cargo area’s temperature settings appropriate to your goods; ChillFreez is not responsible for spoilage caused by improper use of temperature controls, excessive door-opening, or overloading beyond the vehicle’s rated capacity.
• Report any mechanical fault, accident, or damage immediately via WhatsApp/phone.
• Return the vehicle at the agreed time, location, and condition (normal wear and tear excepted).
• Pay for any traffic fines, Salik/toll charges, or penalties incurred during the rental period.

7. Fuel Policy

Vehicles are provided with a set fuel level and must be returned with the same level, unless a different arrangement (e.g., “with driver” packages including fuel) is agreed in writing. A refuelling charge plus service fee applies if the vehicle is returned with less fuel than provided.

8. Insurance & Liability

• All vehicles carry UAE-mandated third-party motor insurance. Additional comprehensive cover, where applicable, is subject to the policy’s terms, excess, and exclusions.
• The Renter is liable for any excess/deductible amount, traffic violations, and damage resulting from negligence, misuse, unauthorized drivers, or breach of these Terms.
• ChillFreez’s total liability for any claim arising from the rental is limited to the value of the rental fees paid for the relevant booking, except where liability cannot be limited under UAE law (e.g., gross negligence, wilful misconduct, or death/personal injury).
• ChillFreez is not liable for indirect or consequential losses, including loss of business, loss of goods due to Renter’s misuse of temperature controls, or delays caused by traffic, weather, or events beyond our reasonable control (force majeure).

9. Cargo & Cold Chain Disclaimer

ChillFreez provides and maintains the refrigerated vehicle in proper working condition prior to dispatch. However:

• The Renter (or their staff/driver) is responsible for correct loading, stacking, and door discipline to preserve the cold chain.
• ChillFreez is not an insurer of cargo value; Renters carrying high-value or highly sensitive goods (e.g., pharmaceuticals) should arrange their own cargo insurance.
• Any temperature-related claim must be reported immediately upon discovery, with supporting evidence (e.g., temperature logs, photos), for ChillFreez to investigate.

11. Vehicle Breakdown or Unavailability

If a booked vehicle becomes unavailable due to mechanical failure or unforeseen circumstances, ChillFreez will, at its discretion, either provide a comparable replacement vehicle as soon as reasonably possible or refund the affected portion of the rental fee. This is the Renter’s sole remedy in such cases.

12. Website Use

By using chillfreez.com, you agree not to misuse the site (e.g., attempting unauthorized access, scraping content, or introducing malicious code). All content on this website — text, images, logos, and branding — is the property of Chill Freez Transport L.L.C. unless otherwise credited, and may not be reproduced without permission.

13. Governing Law & Jurisdiction

These Terms are governed by the laws of the United Arab Emirates and the Emirate of Dubai. Any dispute arising from these Terms or a rental agreement shall be subject to the exclusive jurisdiction of the competent courts of Dubai, without prejudice to any applicable UAE arbitration or mediation mechanisms agreed between the parties.

14. Changes to These Terms

We may update these Terms from time to time to reflect changes in our operations or UAE law. The version published on this page at the time of your booking governs that transaction. Continued use of our services after an update constitutes acceptance of the revised Terms.
